How to Use Field Codes in Word

Go to the 'Insert' menu in Word 2003 or earlier and click on 'Field.' In Word 2007, go to the 'Insert' tab of the ribbon, click the 'Quick Parts' drop-down arrow and select 'Field.' The 'Field' dialog box will open.

Insert a date that will automatically update whenever the document is used. Place the cursor where the date should go and open the 'Field' dialog box. Select 'Date' from the 'Field Names' list. Choose the desired date format in the 'Date Formats' list and click 'OK.'

Insert a field that will place the user name of the person creating or editing the document. Place the cursor where the name should be entered and open the 'Field' dialog. Select 'UserName' from the 'Field Names' list, select a format and click 'OK.'

Insert information about the document by selecting 'Info' from the 'Field Names' list and selecting the desired category in the 'Info Categories' list.

Prompt users of the document to fill in a field by selecting 'Fill-in' from the 'Field Names' list, typing a question or instructions into the 'Prompt' box and clicking 'OK.' The users will receive a pop-up message with the prompt and a space to type in their response.
