How to Format Comments on MS Word
1. Change the color of the comment box by selecting “Show” in the “Reviewing” toolbar then clicking on “Options.” The “Track Changes” dialog box will open.
2. Select the drop-down list by “Comments color” then choose the color you'd like your comment box to have.
3. Change how MS Word displays balloons for comments by changing “Use Balloons (Print and Web Layout)” to “Always,” “Never” or “Only for comments/formatting” in the “Track Changes” dialog box. Then choose your preferred width and margins.
4. Connect lines from text to balloons by adding a checkmark by “Show lines connecting to text” in the "Track Changes" dialog box. Press “OK” to accept the changes.
5. Open the “Styles and Formatting” task pane by selecting “Format” then “Styles and Formatting,” so you can check or modify a comment’s text format.
6. Click within the comment box on your page in Word, so it'll be visible in the “Styles and Formatting” task pane. Place your mouse just below the “Formatting of selected text” section of the task pane for the style’s name (for example, “Comment Text” or “Comment Reference”).
7. Click on the arrow that appears on the right side by the style’s name then select “Modify.” The “Modify Style” dialog box will open.
8. Change the font, text size, formatting, color, alignment, line spacing and indentation to your preference. Then click “OK.” The text format of your comments will be updated in the MS Word document.
